DECORATION SERVICES

1. Deposit & Date Reservation

A non-refundable 50% advance is required to reserve your event date.

Clients may transfer less than 50%. A date will only be reserved with the advance payment. However, Lumos Events will not purchase, reserve, prepare, or allocate any items until the full 50% non-refundable deposit is completed.

2. Final Payment

The remaining balance must be paid at least 1 day before the event.

Failure to settle the balance may result in cancellation of the booking, with no refund of the advance.

3. Outdoor Events

Clients must inform us if the event is outdoors.

A refundable Rs. 15,000 outdoor security deposit is required.

Any damage, dirt, water exposure, breakage, or missing items will be deducted from this deposit.

The refundable balance (if any) will be returned within 2 days after the event.

4. Rental Items & Damages

Clients are fully responsible for loss, theft, damage, or misuse of rental items.

Repair or replacement costs will be charged based on the damage level.

5. Cancellations

All advance payments are strictly non-refundable, regardless of reason.

Cancellations made by the client will result in full loss of paid amounts.

6. Date Changes

Clients may change the event date once without an additional charge.

A second date change or more will incur a fee of Rs. 2,000 per change.

Date changes must be informed at least 2 weeks before the event.

Approval of the new date is subject to availability.

"Reasonable situations" (medical, emergencies) can be considered, but valid proof must be provided.

7. Event Changes

Any changes to design, theme, colors, items, or venue after confirmation may result in additional charges.

Last-minute changes (within 72 hours) may not be accepted due to preparation limitations.

8. Force Majeure

We are not responsible for delays or non-performance caused by circumstances beyond our control, including:

  • Extreme weather
  • Power failures
  • Road blocks
  • Political situations
  • Supplier delays
  • Venue access issues

No refunds will be provided in such cases.

9. Venue Access

The client must ensure timely access to the venue for setup.

Any delays caused by venue restrictions may reduce the final output, and we will not be held liable.

Additional charges may apply if extra time, manpower, or overnight setup is required.

10. Photography & Social Media

Lumos Events may capture photos/videos of the setup for portfolio and promotional use.

If you do not wish your event to be photographed, you must inform us in advance.

11. Client Responsibilities

  • Correct event details (location, time, layout) must be provided
  • Miscommunication or last-minute changes may impact the final result
  • Clients must ensure safety of props until pickup
  • Ensure safe and clean conditions for our props
  • Provide a responsible contact person on-site

12. Acceptance

By confirming your booking and making any advance payment, you automatically agree to all the terms and conditions listed above.

RENTAL PRODUCTS

1. Rental Period

Standard rental period is 12 hours from the agreed pickup/delivery time.

Items must be returned within 12 hours of rental start time.

Late returns will incur a penalty of Rs. 500 per day per item (or 20% of rental value, whichever is higher).

2. Security Deposit & ID Requirement

A refundable security deposit is required for all rentals. The deposit amount varies based on the value of the item.

A valid ID (NIC, Driving License, or Passport) is required and will be held during the rental period.

Your ID and security deposit will be returned within 2 days after items are returned in good condition.

Any damage, loss, or missing items will be deducted from the security deposit.

3. Item Condition

All rental items are provided in clean, working condition.

Clients must inspect items upon delivery and report any issues immediately.

Items must be returned in the same condition (clean and undamaged).

4. Client Responsibilities

  • Clients are fully responsible for the safety and care of rented items
  • Items must not be modified, painted, or altered in any way
  • Rented items are for the agreed purpose only and cannot be sub-rented to others
  • Clients must provide a safe, secure environment for the items

5. Damages & Loss

Clients will be charged for any damage, loss, theft, or destruction of rental items.

Repair costs or full replacement value will be charged based on damage level.

If items cannot be repaired, clients must pay the full replacement cost.

6. Delivery & Pickup

Delivery and pickup services are available for an additional fee based on location.

Clients must ensure someone is available to receive/return items at agreed times.

Delays in pickup caused by the client may result in additional rental charges.

7. Cancellations

  • Cancellations made more than 48 hours before delivery: Full refund minus 10% processing fee
  • Cancellations within 48 hours: 50% of rental fee forfeited
  • Cancellations within 24 hours or no-shows: No refund

8. Acceptance

By renting items from Lumos Events, you automatically agree to all terms and conditions.

SELLING PRODUCTS

1. Sales Policy

All sales are final unless there is a mistake from Lumos Events.

No returns or refunds for change of mind, incorrect orders placed by the customer, or items no longer needed.

2. Returns for Lumos Errors Only

If we send the wrong item or a defective product, you must notify us within 2 days of receiving the item.

Return the item in its original condition and packaging within 2 days.

We will replace the item or issue a full refund once we receive and verify the return.

3. Defective or Damaged Items

Inspect items immediately upon delivery.

Report any defects, damages, or missing items within 24 hours of delivery.

Take photos of the issue and send them to us via WhatsApp or email.

We will arrange a replacement or refund for verified issues.

4. Customer Responsibility

  • Ensure correct item, quantity, color, and size are selected before ordering
  • Double-check delivery address and contact information
  • Items damaged after delivery due to mishandling by the customer cannot be returned

5. Payment

Full payment is required before items are dispatched.

We accept bank transfer, cash, or online payment.

6. Acceptance

By purchasing from Lumos Events, you agree to these terms and conditions.

PHOTOGRAPHY SERVICES

1. Service Scope

Photography packages include 3 hours of coverage, 100 edited photos, and digital copies.

Additional hours or services can be added for an extra fee.

2. Booking & Payment

A non-refundable 50% advance is required to reserve your date.

The remaining 50% must be paid on or before the event date.

3. Delivery Timeline

Edited photos will be delivered within 7 days after the event.

Clients will receive photos via digital download link or USB (as agreed).

Rush delivery is available for an additional fee.

4. Cancellations & Rescheduling

Cancellations: All advance payments are non-refundable.

Rescheduling: One free date change allowed (subject to availability). Additional changes incur a Rs. 5,000 fee per change.

5. Usage Rights

Clients receive full rights to use photos for personal use.

Lumos Events retains the right to use photos for portfolio and promotional purposes unless the client requests otherwise in writing.

6. Client Responsibilities

  • Provide a shot list or specific photo requests at least 3 days before the event
  • Ensure the photographer has access to the venue and cooperation from guests
  • Inform the photographer of any must-have shots or VIPs to photograph

7. Acceptance

By booking photography services through Lumos Events, you agree to these terms.

CAKES & CUPCAKES

1. Service Scope

Custom cakes and cupcakes in various designs, flavors, and sizes.

Minimum order may apply for custom cakes.

2. Booking & Payment

A non-refundable 50% advance is required to confirm your order.

The remaining 50% must be paid at least 2 days before delivery/pickup.

3. Customization

Provide design details, flavor preferences, and dietary requirements at least 1 week before the event.

Design changes within 3 days of delivery may not be possible or may incur additional charges.

4. Cancellations & Changes

Cancellations: All advance payments are non-refundable.

Flavor or design changes: Free if made at least 5 days before delivery. Rs. 2,000 fee for changes within 5 days.

5. Allergies & Dietary Requirements

Clients must inform us of any allergies or dietary restrictions (gluten-free, vegan, etc.) at the time of booking.

Lumos Events is not liable for allergic reactions if proper information was not provided.

6. Acceptance

By ordering cakes/cupcakes through Lumos Events, you agree to these terms.

FACE PAINTING

1. Service Scope

Face painting services available for children's parties, events, and celebrations.

Standard package includes 3 hours of face painting for up to 30 children.

2. Booking & Payment

A non-refundable 50% advance is required to reserve your date.

The remaining 50% must be paid on or before the event date.

3. Cancellations & Rescheduling

Cancellations: All advance payments are non-refundable.

Rescheduling: One free date change allowed (subject to availability). Additional changes incur a Rs. 2,000 fee.

4. Safety & Hygiene

All face paints used are non-toxic, hypoallergenic, and safe for children.

We follow strict hygiene practices (clean brushes, sanitized tools).

Parents must inform us of any known skin allergies or sensitivities.

5. Time Extensions

If additional time is needed beyond the 3-hour package, extensions are available at Rs. 1,500 per additional 30 minutes (subject to availability).

6. Acceptance

By booking face painting services through Lumos Events, you agree to these terms.

EVENT COORDINATION

1. Services Covered

We provide coordination for: Birthdays, Gender Reveals, Engagements, Valentine's Day events, Baby Showers, Anniversaries, and similar celebrations.

Full event coordination includes: Vendor management, timeline planning, on-site coordination, setup supervision, and troubleshooting.

2. Booking & Payment

A non-refundable 50% advance is required to reserve your date.

The remaining 50% must be paid at least 3 days before the event.

3. What's Included

  • Pre-event consultations (in-person or virtual)
  • Vendor coordination (decor, catering, photography, etc.)
  • Event timeline creation and management
  • On-site coordination on event day (from setup to teardown)
  • Troubleshooting and problem-solving during the event

4. What's NOT Included

Vendor fees (decor, catering, venue, etc.) are separate and paid directly by the client.

Items or services not agreed upon in the initial consultation.

5. Changes & Cancellations

Event date changes: One free change allowed (subject to availability). Additional changes incur Rs. 3,000 fee.

Cancellations: All advance payments are non-refundable.

By booking event coordination services with Lumos Events, you agree to these terms.
